JOB DESCRIPTION SUMMARY
The Administrative Assistant primarily functions as support to other positions on the Administrative team, performing a wide variety of administrative tasks as assigned. This position supports planning, execution and post-event activities for meetings and other events. May be assigned to provide administrative support to executives or other assignees in scheduling, travel planning, expense reporting and/or other tasks as requested.
JOB DESCRIPTION DETAILS
Responsibilities
- Provides general administrative support – including, but not limited to, managing calendars, scheduling appointments, and preparing reports.
- Actively supports planning for and execution of team meetings, internal and external meetings and other events by booking rooms, organizing meeting space, coordinating all components of travel, coordinating catering, etc.
- Coordinates set-up and clean-up of conference rooms before and after catered meetings and ensures that conference rooms are tidy and well-stocked before and after meetings.
- Organizes travel arrangements, accommodations, and travel itineraries as requested.
- Manages all aspects of expense reporting for assignees, ensuring that reports are submitted in compliance with company policy and in a timely manner each month.
- Actively supports the planning and execution of executive team meetings, internal/external meetings, and events by booking rooms, organizing meeting spaces, and coordinating all travel and catering components.
- Arranges logistics for on-site and virtual meetings, including technology setup and coordination of catered meals.
- Supports various projects by coordinating tasks, tracking deadlines, and following up on deliverables.
- Assists in the preparation of departmental reports, summaries, and other documentation.
- Partner cross-functionally with employees and departments to ensure the smooth and efficient execution of assigned tasks.
- Provides coverage for building receptionist and supports the planning and execution of in-office events as needed.

- Performs other duties as required and/or assigned.
- May be required to travel up to 15% of the time.
REQUIRED QUALIFICATIONS
Knowledge, Skills and Abilities
- Proficient in the use of common office equipment and software, including: computers, printers, multi-line phone systems, Microsoft Office products
- Effectively and proactively communicates with employees at all levels of the organization, both verbally and in writing
- Utilizes excellent customer service skills
- Effectively manages multiple tasks and priorities
- Demonstrates careful attention-to-detail and organizational skills
- Exhibits a professional demeanor and ability to handle sensitive information with discretion
Education, Certification/License & Work Experience
- 1-3 years of related office experience and/or hospitality experience required
- High school diploma or equivalent required
- Some college-level education preferred
Equivalent combinations of education and experience may be considered.
Total Rewards Package:
Compensation
- Base: $46,000.00 to $60,000.00 annually, based on specific compensable factors including, but not limited to education, work experience, and geographic market.
- Bonus: This role will be eligible for participation in a discretionary annual bonus program, pursuant to which an employee may be awarded a percentage of their salary based on the company’s performance and their own individual performance.
